Tips for Board Meeting Preparation

To ensure that everyone is on the same page, it’s essential to be prepared for board meetings. The following tips will help you establish an effective meeting structure that will yield the best results each time your board is meeting.

In the lead-up to the meeting, it’s important to review previous minutes of the last board meeting. The director should be asked to submit any materials or reports that need to be included on the agenda. Also, identify the chairperson’s preferences regarding the presentation and organization of the books for board meetings. Some people prefer a greater amount of detail, while others prefer a standard « dashboard approach ».

It is best to concentrate on a couple of important agenda items for each meeting to avoid overcrowding meetings with long reports or other topics that are routine. In addition, avoid scheduling more than 30 minutes for each agenda item so that you have enough time to give each topic sufficient time.

It’s also an excellent idea to invite members from outside the board to board meetings so that they can bring fresh perspectives and ideas. It can cost more money to bring in non-board members, but the benefits and outsider perspectives they offer are usually worth it.

Additionally, ensure that you be sure to include the most important decisions that are being made during the meeting so that all directors recognize and agree or not with them. It’s also a good idea to assign department heads to each decision, so that they can communicate the outcome of the meeting to their teams.
